This article will guide you through the steps on how to send emails and edit email content through Automation Rules.
NOTE: Prior to creating your Automation Rule, we recommend creating your custom email template under Setup > Communications > Email Templates.
Create a Custom Email Template
1. Access Automation Rules Setup
Navigate to Setup > Automation > Automation Rules > Add New Automation Rule.
2. Defining Your New Rule
Several options will be available for you to select who will this rule be for and when it should trigger.
- Who will this rule act on - Based on your selection in Step 1, this will offer related lead types for Membership Leads or Internal Leads. For members or inactive members, there are no additional types to select in this step.
- Add What Must Be True (or add a trigger event below) - these will run daily. The set of conditions will alter based on the Lead type or member type.
- Add an optional trigger event to fire the rule (or conditions above run the rule daily) - these will run real time based on what is selected.
3. Adding Email Templates
On the final step, you will be need to Choose what things happen for the membership leads that match above. In this case, select Send an Email.
Choose from the drop down your previously created custom email template. You may notice templates will be broken into 2 different groups:
- Template Contains [content] Tag - Requires Text - These are email templates that were created and the [content] tag was used. You will need to type the message/content in the provided text block.
- No [content] Tag - No text Required - These are email templates created with no content tag since all messaging was added when creating the email template. No text block will appear.
4. Editing Email Message
- If the email content was typed directly on your email template, navigate to Setup > Communications > Email Templates to make your adjustments.
- If the email template used has a [content] tag, the message was typed in the Automation Rules setting. Navigate to Setup > Automation > Automation Rules > edit pencil next to the rule you will need to adjust.
