This article and video will show you how to create custom email templates. This allows you to have e-mails personalized to your club.
1. Choose Email Template Type
Navigate to Setup > Communication > Email Templates and click on the + Add New tab. There are four ways to create a custom template:
Create a blank template
Cloning an existing template
Cloning system default template
Clone a newsletter template
Type the name of your new template. (example in image below). Select your desired template by clicking on it and highlighting in green. (using Create A Blank Template as example). Click on the button Add The New Email Template to save and continue.
2. General Settings
After you click on Add The New E-Mail Template you will be taken to the General tab.
Send A Test Email To - From this tab you can send yourself a test email by entering your e-mail address and clicking the GO button.
Tags Used In This Template - These are the tags included in your template. NOTE: All templates MUST have the [unsubscribe] and [content] tags.
Where This Template Could Be Used - This section shows which defaults this template could be used. This is also due to the tags inside the template.
Tag Info Tab - This tab will give you a list of the available tags and a definition of each.
Editor Tab - To continue customizing the template click on the Editor tab. NOTE: This requires the use of Mozilla Firefox or Google Chrome. (More information on tab below.)
Using This Template For Email Blasts - Select this checkbox if you want your template to be selectable from the e-mail blast screen. Click the Update button to save.
3. Editor - Create The Email Template
To insert a tag select from the options showing on the top left drop down. Select your desired image from those you have uploaded to your site.
The editor will show any words that may be misspelled (see "Bithday" above). Use the formatting tool bar to continue editing and formatting your template just like you would in a word processor. When you are satisfied with your email click on the SAVE button.
4. Tag Info
The third tab contains tag information. The tag name will be on the left, along with the description of what the tag will be replaced with, and finally if it can be used as a transactional email only. This means that it cannot be used in an email blast. A Transactional email is one that is sent as a result of an event, such as a new booking, cancellation, or agreement change.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Club Setup: Can access setup
- Club Setup: Can access email templates setup
