Setting up an automation rule to email members when their freeze ends can enhance their experience, reduce manual work, and ensure your business stays connected with members during their absence. Below are ClubReady's suggested best practices for setting up such an automation rule.
Please Note:
- The new rule created will default to OFF (disabled), you will need to enable from the rules list.

- You can view your customer's individual Automation Rules records (Upcoming/History) within the Work It section of their profile.
- Permission access needed: A 'Master Admin' login or a staff login with the following:
- Setup: Can access setup.
- Setup: Can access automation rules setup.
1. Add New Automation Rule: Select that the automation rule will be For Members.
2. Rule Information: Name and define the rule type, assign the applicable Rule Folder and Intended Purpose.
3. Add A Required Condition: Located under the Agreements section, select the 'Coming Off Freeze' option, and specify the number of days prior you want the email to go out.
Note: Our example of "5 days" is not a suggestion, please add the date range that works best for your business module.
4. Add The First Action The Rule Will Perform: Select 'Send An Email' and format your email message.
- You can utilize the [first name] tag in your subject line, this will pull the member's name.
- Selecting or creating an email template will enable you to use other available tags to customize your email and make it more personal to the member. Otherwise, adding the email contact (ie "Hello! Your freeze will end in 5 days!") will allow you to create a general message.
- Selecting or creating a purpose will allow you to easily report on the rule via your Lead Manager Dashboard.
5. Add New Automation Rule: Save your work and remember to enable and test the rule to ensure the customer received the message you want them to see.
