This article will guide you through using the Review Queue. The review queue will list agreements that are finalized in order for your to review. For instance, you may want to review a recent agreement to ensure that all signatures were collected during the write-up of the agreement.
Please Note:
- The retrieval of reports is limited to a 10-year timeframe from the current date, and the download process may vary in duration depending on the selected time frame.
- Reports are not customizable.
- This report reflects outcomes in real-time.
- This functionality must be enabled for the Review Queue under; Setup > Sales > General Settings > New Agreements > Put All New Agreements Into A Review Queue > set to Yes
1. Accessing Your Report
Navigate to Reports > Sales > Review Queue. This report allows the club owner/management to review agreements recently written and approve/deny them. Select from the following filters:
Show All - You can chose to look at all agreements currently under review
Never Reviewed - New agreements that have not been reviewed by a staff member.
Reviewed - Has Problems (these will be highlighted in yellow) New agreements that have been previously reviewed by a staff but an adjustment needs to be made.
To Be Canceled - Not Yet Canceled (these will be highlighted in orange) New agreements that have been reviewed and were not approved by the admin. They will need to be cancelled by the staff who wrote the agreement or staff with permissions.
Click Show Review Queue.
Locate the new agreement you wish to view and select the Review link.
2. Understanding Your Report
This will open a review summary box. From here, you can review the agreement details and take further action.
Full Agreement Details - Click here to go to the full details page for this agreement.
Go To Disciplinary History for - If disciplinary action is required, this option allows you to go write-up a disciplinary form for the staff person tied to this agreement.
Agreement PDF - If there is an electronic copy of the signed contract save, you can review the pdf here. Any files that have been uploaded to this agreement will also display here.
Status - Choose from the following options:
- Pending Review: This keeps the agreement in the review queue.
- This Approved: This removes the agreement from the review queue.
- Not Approved Requires Action: This keeps the agreement in the Review Queue and highlights in yellow. In the Review Queue list, it will state that it is Pending Re-Review. Notes may be added to detail what actions must be made to this agreement to reach approved status.
- Agreement Must Be Canceled: There are 3 reasons that can be selected in regards to cancellation; No Signature on File, No Billing Information, and Invoices Not Accurate. Once updated the agreement will appear highlighted in Orange in the Review Queue as a "Rejected Agreement" until the agreement is fully canceled by staff.
Signatures - All captured signatures from the associated agreement will pull and display in the queue.
Notes - Review any agreement notes.
Commission Reason - You can choose whether staff member receives commission or not on the agreement sale. Select Full Commission, Half Commission, No Commission or Custom Commission Percentage.
Update - This will add any notes and save your adjustments made.
Add Note - Here you can type any agreement notes. You can choose to send the note as an email to the staff who wrote the agreement.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Reporting - Can access reports (must be enabled to see any reports)
- Reporting - Can access sales: Review Queue
