This article will explain how to run and understand the Late Invoices report.
Please Note:
- The retrieval of reports is limited to a 10-year timeframe from the current date, and the download process may vary in duration depending on the selected time frame.
- Reports are not customizable.
- This report reflects outcomes in real-time.
1. Accessing Your Report
Navigate to Reports > Sales > Late Invoices.
You will have multiple filters to choose from, including: All Invoices, Only Invoices NOT in Past Due Status or Only Invoices IN Past Due Status. If you are a Membership club you will have additional filter options: All Invoice Types, Membership Invoices, Membership Add-On Invoices and Services Invoices. You will also have the option to configure how you would like to display your results: Detail Only, Chart Only or Chart and Detail. If you would like to export this report directly to excel, click the Excel Export Only box.
To generate the report, click Run Report.
2. Understanding Your Report

Once the Report Type has been selected and the report has been generated, the report will display on the web page. Depending on your Report Type selection, the report will populate with a Chart or specific details. The Chart will display a visual representation, showing the amount of Days Late for Invoices / Late Fees, along with the dollar amount for each date range. At the top of the report, you will be given the total dollar amounts for the Invoices and Late Fees.
User Id - client's user ID
First / Last Name - client's first and last name
Email - email address associated with the profile
Home / Cell Phone - the home and cell phone numbers associated with the profile
Agreement Date - date that the agreement was signed
Detail - displays the type of invoice (Membership type, Product Type, Late Fee, Etc.)
Amount - dollar amount of the Past Due invoice
Sales Tax - Sales tax associated with invoice
Due Date - date that the invoice was due
Age Days - amount of days that the invoice has existed
Past Due Status - displays the current Past Due Status for the invoice
Payment Details on File - displays if the profile has Payment Details on File (Yes or No)
Attempts - how many times payment was attempted
Is Return - indicates if the invoice was a Return
To export the data, select the floppy disk and choose your method of export: CSV (comma delimited), PDF, or Excel.

What causes an invoice to be placed in Past Due Status?
- An invoice is laced in Past Due Status once it has been past due for a designated amount of days that is setup in your late pay settings (Setup > Sales > Sales Settings > Late Pays).
How many times will the Late Fees be attempted?
- Invoices will be attempted to be drafted up to 3 times.
