Automation Rules allow you to automate business processes by triggering actions like sending emails, assigning tasks, or updating customer/member statuses based on events or conditions. You can create simple or complex rules using an "If X, then do Y" logic, with conditions evaluated daily.
Please Note:
- Business Automation Rules resides under the Setup tab and within the Automation folder.
- The permissions needed for access are;
- Setup: Can access setup.

Global Automation Rules ON/OFF: Operates as a master switch; if toggled OFF, your rules will not fire (be triggered) even if the individual rule is set to ON.
- Best practice is this toggle remain ON unless store closure is in process.
- Does not operate as a master ON/OFF switch; each individual rule will need to be adjusted for this request.
Active Rules: Lists all Rule Folders, and their rules, that are available for use.
- Will included rules that are currently disabled and enabled; ON/OFF.
Archived: Lists all Rule Folders, and their rules, that you have set YES on the 'Is an archived rule folder (any rules disabled)' setting.
Please Note: If you delete a folder while rules are assigned to it - your rules will also be deleted.
Add New Automation Rule: Opportunity to create a new rule
Rule Folders: Lists all folders created within your dashboard. Option to display all rules or click on a rule folder to see only rules assigned to folder type.
+ new folder: Opportunity to create a new folder type. If you wish to archive rules you can set that option within the creation and edit screen.
1. The ON/OFF toggle controls if the individual rule is live and firing.
2. The folder name that the Automation Rule resides under.
3. The name of the Automation Rule.
4. The pencil icon allows you to edit the existing Automation Rule.
Please Note: If the pencil icon is not present this means the Automation Rule was created at the corporate level and cannot be edited by you.
5. The arrows allow you to drag and drop the Automation Rule into different folders.
6. The rule's type; Rule Type are defined (step one) when creating a new rule.
7. The rule's 'Selected Intended Purpose'; the Intended Purpose is defined (step two) when creating a new rule.
8. The total number of actions that will happen when the customer meets the Automation Rule. When creating your conditions it is the 'Choose what things happen for the Internal leads that match the above' setting.
9. The icon represents the action that will happen when the customer mets the Automation Rule; hover over the icon to see what action it will be.
10. The X icon is the delete tool.
Filter Definitions
Enabled/Disabled Filter
- Is Active: Lists folders/rules that are set to ON and do not reside within an archived folder.
- Is Disabled: Lists rules folders/rules that are set to OFF and do not reside within an archived folder.
Filter By How Triggered
- Evaluated Once Daily: Depending on the rule's condition, ClubReady (dictates when the rule goes out) will only process once a day (normally overnight or to start the day).
- Triggered In Realtime: You will select the trigger time based off your requirements; the rule will fire when that action occur.
Filter By Rule Purpose: Opportunity to filter by Rule Purpose. The Rule Purpose is defined (step two) when creating a new rule.
Please Note: Rule Purposes set with the 'Select Intended Purpose' as 'Membership Sales' will appear on your Lead Management dashboard. All other Rule Purposes will reside under the Member Management dashboard.
