This report shows the total number of minutes that staff members spent in session and classes during the selected date range, and compares it with the total minutes that they were clocked in. This shows the percent of their clocked in hours that were spent working directly with scheduled clients. Staff members with no utilized time and/or zero hours clocked in are also included.
Please Note:
- The retrieval of reports is limited to a 10-year timeframe from the current date, and the download process may vary in duration depending on the selected time frame.
- Reports are not customizable.
- This report reflects outcomes in real-time.
- For StretchLab, 25 and 50 minute sessions/classes are rounded up to 30 and 60 minutes, respectively.
1. Accessing Your Report
Navigate to Reports > Staff > Staff Utilization.
Select the appropriate parameters:
- Date Range
- Location Selector for Division/District/Store (Corp only)
- Ignore Classes with No Bookings - If this is checked, classes will not count towards staff hours if there are no bookings associated with them. If a class is associated with one or more bookings but all bookings are in lost (late cancel or no show) or not logged status, then the next two parameters for sessions lost and not logged will determine if that class counts towards utilized hours.
- Include Cust Lost Sessions - If this is checked, sessions will count towards utilized staff hours even if the customer did not show up due to a late cancel or a no show. When this parameter is not checked, these sessions will not count towards utilized staff hours.
- Include Sessions Not Yet Logged - If this is checked, sessions will count towards utilized staff hours even if the booking status has not yet been logged as complete, no show, etc. When this parameter is not checked, unlogged sessions will not count towards utilized staff hours.
Once you have selected your filters, click Run Report.
2. Understanding Your Report
Once downloaded, the Staff Summary tab in the excel will show you:
Staff Id - The UserID of the staff member.
Staff Name - The name of the staff member.
Services Provided Minutes - The total number of minutes for any sessions this staff member taught and any classes where this staff member was the primary or secondary instructor.
Clocked In Minutes - The total number of minutes the staff member was clocked in.
Utilization % - Services Provided Minutes divided by the Clocked In Minutes.
When selecting the Detail Page tab, you will see the same main columns as above. Additional columns will show:
Service Name & Mins - The name of the session or class and the length in minutes.
Class/Session Count - The number of times each staff member conducted this class or session during the selected date range.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Reporting - Can access reports
- Reporting - Can access Staff Utilization Report
