Virtual classes and services have quickly become imperative for the fitness industry. We want to ensure our customers understand how to leverage virtual classes and services to continue virtual fitness during re-opening and beyond.
1. Booking Policies
As clubs move towards virtual classes/services, some may not be as strict with their booking policies. Clubs aren't as worried about equipment being booked full and a member cancelling minutes before a class starts. Think about how you want your virtual classes and/or services to operate and if needed, create a virtual specific booking policy you can assign to virtual class or service types.
2. Virtual Class or Service Setup
Even when clubs start to re-open, many will still host virtual classes/services. ClubReady recommends creating new class/service types that are specific for virtual use. Doing this allows for clubs to customize how they operate virtual classes without interrupting their physical class/service setup and allow clubs to pay staff different rates for each type.
a. After you've created a virtual class type, it is time to think about how you want that virtual class setup.

- Max Attendees Per Class
- Depending on your club, you may have an unlimited amount of virtual class. If that is the case, be sure not to leave this field blank and enter a large, max number.
- Booking Policy
- If you create a virtual specific booking policy, be sure to apply it here.
- Class Credits Required?
- If your clubs usually operates off session credits, membership types, and/or amenities and you want to continue those being applies to virtual classes, be sure to update that here.
- Max Attendees Per Class
- Instructors
- Want to pay instructors a different rate for virtual classes? Do it here! In ClubReady, you can setup different pay rates for specific classes. Be sure to also assign this new class to your instructors scheduling area.
b. After you've created a virtual class type, it's time to think about how you want that virtual service setup.

3. Adding Virtual Classes to Schedule
- If your club plans to completely replace physical classes with virtual, your club can bulk update class types to your new virtual class option.
- To add your virtual class to the schedule, follow these steps.
- If you have a virtual meeting link (URL) you can add that link to the virtual class. That way, when your members book and receive a booking confirmation email they will receive the virtual meeting link.
- If that virtual meeting link requires a password, you could email blast that class roster the password! That way, members who aren't booked into the class do not receive the password
4. Adding Virtual Services to the Grid View
- Scheduling virtual services work the same as scheduling physical services, the only difference is using the virtual service type (if applicable) and adding the virtual meeting link associated to that service.
- When a service booking is made, the booking confirmation email will send the virtual meeting link and if you need to send a password, you can send an individual SMS or email to your client.
