This article will guide you on how to setup session credit expiration and how to manually expire sessions if needed.
1. Accessing Sales Packages & Session Credit Setting
To set the expiration date for session credits being released with a sales package; go to: Setup > Sales > Sales Packages.
Click on the sales package that contains the session credits. On the Settings tab scroll down to Any Session Credits Expire After. Enter the number of days the credits should expire. Choose if they should expire using the payment date or the contract (sale) date.
NOTE:
- If the expiration date applies to the date the booking was made, this would mean the booking has to be made before the session credit expires.
- If the expiration date applies to when the booking occurs, the session itself would have to occur before the session credit expires.
2. Accessing Custom PIF Sales Packages & Session Credit Setup
To set the expiration date for PIF packages; Click on Setup > Sales > General Settings > New Agreements.
Scroll down to the Custom Paid In Full (PIF) Session Credit Agreement Settings. Set a solid Session Expiration time period or select to allow the credit expiration date to be selected at the time of sale.
3. Manually Expiring Session Credits
To manually expire a session credit, locate your customer through lookup and go to: All Details > Bookings > Bookings & Session Credit Status. Click on the edit pencil next to the session credit that you are adjusting.
Using the drop down, select the length of time to extend the sessions credit expiration or a specific date, and click Update The Date.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Club Setup - Can access setup
- Customer Management : Credits & Bookings - Can view customer booking & session credit status
- Customer Management : Credits & Bookings - Can edit session credit expiration dates
