This article will guide you though using the contacts feature when working tasks.
There are four features under the Contacts tab:
Phone Call - This is a log of all phone call notes entered for this task.
Email - This feature will allow you to send an email directly to the client and show all email history for this task.
SMS (Text Message) - This feature will allow you to send messages directly to the clients cell phone and show the text message history for this task.
Person to Person - This feature will allow you to log the outcome of the face to face contact for this task.
1. Access Prospect Tasks
Tasks can be accessed by clicking on the Prospects tab for tasks related to Prospects or Members/Custs tab for tasks related to Members/Customers. If not already selected you may view the task list by selecting the Tasks tab. Locate the task you wish to work and click the WORK IT button.
2. Phone Call Tab
After clicking the WORK IT tab you will be directed to the Tasks / Notes tab. Click on the Contact > Make A Phone Call. The phone call screen will show the clients contact numbers, last call information and a chronological list of calls on the right side of the screen.
3. Email Tab
For this step click on Send An Email tab. On the left you will be able to send an email to the client. On the right you will see a list of all the email correspondence between the client and staff for this task.
4. SMS (Text Message)
For this step click on Send An SMS. Like the email screen the SMS (Text Message) screen will allow you to send a text message to the client and keep a log of both the staff and client responses for this task.
NOTE: If staff do not select the checkbox to "log the task as complete", they are presented with a message prompting them to complete it.
You can view from the Work It when an SMS (Text Message) has failed to go through.
5. Person to Person
For this step click on Contact > Person to Person. The screen will show the clients contact numbers, last face to face contact and a chronological list of interactions on the right side of the screen.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
