This article will walk you through how to run the Internal Reports; reports and notifications that can be sent to staff via email.
Please Note:
- The retrieval of reports is limited to a 10-year timeframe from the current date, and the download process may vary in duration depending on the selected time frame.
- Reports are not customizable.
- This report reflects outcomes in real-time.
- All ClubReady Internal Reports will display on your email inbox as coming from mailsystem@clubready.com.
Daily Payroll - report provides a daily email that summarizes the previous days bookings and time-clock hours, with a payroll period summary.
Assigned New Prospect - notification can be set to always send an email to a staff member when they are assigned a new prospect.
Notification When A New Prospect Is Added - which is sent when a new prospect is added to the system. This can be limited to entries made via the prospect API (online).
Blind Copy Staff On New Agreement Emails To Clients - that allows staff to be blind copied on emails clients receive when they sign a new agreement.
Notification Whenever An Employee Discipline Record Is Entered
Agreement Amenity Report - that is a bi-monthly report showing all agreements sold by amenity included.
Invoice Change Report - gives a daily invoice change summary.
Freezes Ending - is sent on the last day of each month including a list of freezes set to end during the following month.
Chargeback Notifications - report will provide an email notification if ClubReady receives a chargeback (credit card dispute) for any payments made at this club. It will be sent once we have matched disputed charges to payments in our system. Note: Only applicable if ClubReady handles chargeback processing for your club
1. Access Internal Reports
Navigate to Setup > Communication > Internal Reports.
2. General Staff Email Settings
To activate the Daily Payroll and Assigned New Prospect notifications switch them to Yes.
3. Manage The Distribution List
To add staff members to the distribution list click on the Manage The Distribution List button located to the right of each report summary.
4. Add Staff Email Addresses
Type in the email address and add a comma after if you are entering multiple staff members.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Club Setup: Can access setup
- Club Setup: Can access internal reports setup
