Before You Begin
Requirements
You must have a Master Admin login or a staff login with the following permissions:
- Reporting - Can Access Reports
- Reporting - Can Access Products: Inventory
Important Notes
- The Current Inventory page displays inventory information in real time.
- Inventory levels update as products are sold, received, or adjusted.
- Inventory can be adjusted individually or through a bulk upload process.
- Inventory exports can be used to perform bulk inventory updates.
Access the Current Inventory Page
Navigate to Setup > Products > Current Inventory.
You can search for specific products by typing in the product description and the results will filter below. You can also Filter By Product Category using the drop down menu.
Additional options include:
Don't Show Products That Have Never Been Sold And Have No Stock Level (checked by default)
Only Show Out Of Stock
Show Product Image
The product list will display below and provide you with the product ID#, Product description, and current stock level.

Understanding The Page
Status Tab
The first graph will display the Inventory Level Over Past 12 Months. This report is updated daily as levels go up and down.

The second graph will display the Sales Count Per Week Past 12 Months. You can also Export this file to Excel to display the Week Start, Week End, and Sale Count.

The third graph will display the Sales Count By Gender Of Buyer.

Orders Tab
The Orders tab will display the Ref #, Vendor, Status, and Count for any Vendor Orders that were logged through ClubReady; under Reports > Products > Vendor Orders.

Adjustments Tab
The Adjustments tab allows you to make an adjustment to the inventory count and view Adjustment History:
Use the drop down menu to Select Adjustment Type: Correction - Increase Inventory, Correction - Decrease Inventory, or Damaged Inventory Reduction.
Type in an Optional Note along with the Inventory Amount and click on Make The Adjustment.
Adjustment History can be viewed below and will include the Date, Reason, Done By, and Impact on stock level.

Exporting Inventory & Bulk Adjust Template
From the main inventory page, clicking on the export link will download an Excel file. This file can be used for bulk inventory adjustments. View the article for Bulk Inventory Adjustments.

Use Cases
1. Reviewing Current Inventory Levels
- A manager wants to verify available stock for retail products.
- They access the Current Inventory page and search for the product.
- Result: Inventory quantities can be reviewed immediately.
2. Investigating Inventory Trends
- A club wants to know how inventory has changed over time.
- The Inventory Level Over Past 12 Months graph is reviewed.
- Result: Inventory patterns and stock fluctuations can be analyzed.
3. Adjusting Damaged Inventory
- Several products are damaged and can no longer be sold.
- A Damaged Inventory Reduction adjustment is created.
- Result: Inventory counts accurately reflect available stock.
4. Reviewing Vendor Orders
- A manager wants to see whether a vendor order has been received.
- The Orders tab is reviewed.
- Result: Vendor order status can be tracked directly from the product record.
5. Performing a Physical Inventory Count
- The club completes a physical inventory audit.
- Inventory is exported, updated, and uploaded through Bulk Inventory Adjust.
- Result: Inventory records can be updated efficiently across multiple products.
Frequently Asked Questions
Q: Can I search for a specific product?
A: Yes. Use the Product Description search field or Product Category filter.
Q: Can I view only products that are out of stock?
A: Yes. Enable the Only Show Out Of Stock filter.
Q: What adjustment types are available?
A: Correction - Increase Inventory, Correction - Decrease Inventory, and Damaged Inventory Reduction.
Q: Can I export inventory to Excel?
A: Yes. Use the Export option from the Current Inventory page.
Q: Can I update multiple products at once?
A: Yes. Export inventory, update the file, save it as a CSV, and import it using Bulk Inventory Adjust.
Q: What happens if I use both Set Inventory To and Increase/Decrease Inventory By?
A: Increase and Decrease Inventory values override any value entered in Set Inventory To.
The Excel file will contain the following information:
Product ID - the internal ClubReady ID for the product.
Product Code - This is the product code from the general setup of the product.
Other Product Code (3rd Party Product Code)
Product Name - The name as entered into the system under product setup.
Current Inventory - The current inventory total amount at the time the excel was generated.
Inventory Value - this will factor in the wholesale price that you paid for the product by the number you have in stock.
Set Inventory To - Use this column to set a specific count for the product.
Increase Inventory By - Use this column to add additional inventory to the current stock level.
Decrease Inventory By - Use this column to decrease the current inventory level by the amount entered in this column.
The green columns are used when making bulk adjustments. Increasing and decreasing inventory will override what you type into Set Inventory To so there is no need to type in multiple columns for the same product. Save the Excel file as a .csv file to upload inventory in bulk. This can be performed by uploading your csv file under Reports > Products > Bulk Inventory Adjust.
