This article will guide you through how to understand your Session Payroll Report to not pay staff for a lost session (cancellation) when a new booking replaced it.
Example: I want to run the Payroll Report and prevent staff from getting paid twice, in the case that a member cancels outside of the cancellation policy (loses a session credit and staff gets paid) but another member rebooks in the same time spot (staff gets double pay - which we want to avoid).
1. Access Your Report
Navigate to Reports > Staff > Session Payroll > Staff Sessions tab.
You can run this report for the date range of your choosing. Select a custom date range from the To and From calendars, or choose from one of the preset date ranges.
There are several filters available, confirm you have the following selected:
Include Cust Lost Sessions - this will include any sessions where a customer cancelled outside of booking policy or did not show up.
Click Run Report.
2. Understanding Your Report
The populated list will show the individual sessions with each date/time/member/staff and the far right column for Status.
The Status column will show:
- Completed/Lost sessions
- Reason why it was Lost (Cancelled/No Show)
The list is ordered by date/time, so any booking that replaced a Lost session will be listed immediate above or below the Lost sessions.
You will need to look at the Status column to search for any Lost sessions and if there is a duplicate date/time next to it that is listed as Completed with the same staff person as Lost, then you will manually recalculate pay for only 1 of these sessions. Provide to your payroll service the modified totals that do not include double sessions.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Reporting: Can access reports (must be enabled to see any reports)
- Reporting: Can access Staff: Session Payroll
