This article will guide you through the steps needed to adjust a customer's frozen agreement. For example, how to "extend" a freeze to be longer.
Step 1 - Unfreeze The Agreement
In order to make new adjustments to a customer's frozen agreement, such as give them an extension, you will need to remove the current freeze.
a. Access the Frozen Agreement
Search for and select the desired customer. Click on the Agreements tab. Click on the Full Details button next to the Frozen Agreement you would like to un-freeze to access the Agreements Detail screen.
b. Unfreeze The Agreement
Click Remove Freeze to proceed with the following options:
Agreement Auto-Renew Status After Freeze Removal - select the toggle On / Off if you wish to have the Auto-Renew for this agreement.
Adjust Membership Expiration Date - Select whether you want to adjust the client's expiration date. (NOTE: This date determines if the client is Active or Inactive).
Invoices That Will Be Impacted - The invoices listed here were affected by the freeze. You can adjust from here if you wish to change the due date.
Add an optional internal note - Enter an optional note if you need to document anything special about this action.
Click Remove The Agreement Freeze (un-freeze) button to save your changes.
Step 2 - Freeze The Agreement
Now the agreement is back to an ACTIVE status. You can proceed to freeze the agreement with the new extended time.
a. Agreement Details
You can remain in the same screen and proceed by clicking on Freeze Options.
b. Freezing the Agreement
The Freeze Options menu option will open the Agreement Freeze Options screen.
Freeze Type - Select the new time frame you want to extend the freeze for (a specific number of months or indefinitely). Selecting a specific number of months will prompt you for how many months the freeze will last.
Start Freeze - Select whether you want the freeze to start immediately or what date it will start. Selecting a future date will prompt you for when the freeze date will start. You will be provided a text box to enter any desired date, and links for 30 days from now or after next payment date.
Charge A One Time Freeze Fee - The freeze process will allow you to enter a one time freeze fee and a monthly freeze fee.
Monthly Freeze Invoice At - Enter a monthly freeze fee.
Membership Expiration - Select whether you want to adjust the clients expiration date based on this freeze.
Email A Notification Of Freeze - Click Yes if you want to send the client an email notification for their records about the freeze.
Add An Optional Internal Note - Enter an optional note if you need to document anything special about this freeze.
To complete the freeze process click the Implement Agreement Freeze button.
