This article will guide you through recommended ways to redeem gift cards in ClubReady.
Please Note:
- Customers can utilize the gift card for online transactions, provided that the gift card's value equals or exceeds the purchase amount. Online payments cannot be split.
- Customers must have an alternate payment method stored on file to finalize online transactions and for future purchases.
1. Locate the Recipient's Prospect or Member Profile and bring them into the POS
If it is a new client, create a new profile under their name.
Recommendation:
- Add the Gift-Giver's contact information to the new profile and add the new client's information to the Key Notes section. Doing this will prevent emails going to the recipient and alerting them of the purchase.
2. Select product and add the dollar amount requested by the Gift-Giver
Recommendations:
- Create a product name "Gift Card" or "Gift Certificate" to select at the POS.
- If the club does not have a product, then manually add an invoice to the recipients profile and take the invoice to the POS.
3. Taking Payment
Once the invoice is in the POS, select CHECKOUT. Click CARD > ENTER. Enter the gift-Giver's information into the credit card information field.
NOTE: Deselect Store this Credit Card for future purchases?
Select No Receipt or change the email address to the Gift-Giver's email address in order for the recipient not be notified of the purchase.
4. Refund Back As A Client Credit Balance
When the Recipient comes to redeem the gift certificate, update their contact information and refund the purchase back to Client Credit Balance.
5. Recipient Makes Purchase
Bring the purchase to the POS and apply the credit balance to their purchase. You can now enable receipt with the correct email address.
Redeeming Gift Card - Lead Types & Email
1. Add A New Prospect
Add recipient as a prospect and they will remain prospects unless they purchase a membership agreement at your club.
2. Assign A Prospect Type (& Barcode)
When adding the new recipient a a prospect, select a Lead Type that can classify them with the specific gift card they are receiving. You can also Assign A Barcode to allow the prospect to check in during their gift card term.
3. Emails
Making the correct Lead Type selection can send the recipient a custom email template that has been created for these customers. It can also drive Automation Rules that you can set in place to allow the system to send follow up emails or change their lead type.
