This article will guide you on how to give a member a free month on their agreement.
Giving Free Month on a "MONTH TO MONTH" / Auto Renewal Agreement
In the below example we will be giving the member a free month for July. We then want billing to go back to the expected $75 and auto-renew accordingly.
1. Edit The Invoice
In order to give the free month on a month to month, you are going to first push-out the auto-renew invoice. In our example we will move the July invoice out to August. This way, after the free month, billing will go back to $75 and will auto-renew as expected.
To adjust the invoice, click the edit pencil to the right of the invoice. From the pop-up window, select Adjust The Invoice Details. Then select Yes for the Change Due Date field, edit the due date accordingly and Update.
2. Add An Invoice
Now that you have created a gap in the billing of this member. This is where your free month is occurring. For reporting purposes, you may want to add a zero dollar invoice as a "place-holder". For example, we will add an invoice for 7/5 for $0.
To add a new invoice, click on Add A New Invoice, near the top right of the invoice screen and the above window will open.
In this window you will want to;
Make sure the invoice is tied to the correct agreement.
Make sure the correct Sales Package invoice type is selected.
Enter the name of the invoice.
Enter the the dollar amount, in this case it would be $0.
Enter the desired due date and you also have the option to add a note.
Giving Free Month on a "PAID IN FULL" / Not Auto Renewal Agreement
Because this agreement is already paid you will not need to edit an invoice, instead we will extend their membership expiration date.
Go to the clients All Detail > General > Edit Membership Status. Once there, edit the clients Membership Expiration Date by pushing the date out a month if a free month is being given and then click Update Status.
Giving Free Month on a "TERM" / An Agreement Where The Customer Is Still Making Payments Within Their Terms
In order to give the free month on an agreement where the member is still in term you are going to zero out the invoice that you want to give the member for free. Be sure that you are not adjusting an auto-renew invoice.
If the invoice is an auto-renew invoice, you will want to follow the directions provided in the first section of this article.
Now go to the invoice in question and click on the edit pencil > Adjust The Invoice Details > Select Yes for the Adjust Invoice field > Adjust the price to $0 > Then Update.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Member Management : Payments Related - Can view client billing information
- Member Management : Payments Related - Can edit unpaid client invoices
