This article will walk you through how to upload scanned agreements when not taking electronic signatures through ClubReady.
1. New Agreements Signature Capture Method Setup
Navigate to Setup > Sales > General Settings > New Agreements. From here, you will want to make sure your site is setup to not take any type of signatures since you will be using paper agreement.
Electronic Signature Method For Agreements - Select None on how you want your customers to sign their new deals.
Electronic Signature Method When On Mobile Device - Select None how you want your customers to sign their new deals when using a mobile device (tablet).
Writing an Agreement
1. Skip Signatures when using electronic contract
Navigate to Main > Write Up New Agreement (or New Agreement depending on your menu style).
Search and select the desired client. To learn more on the step by step on how to write an agreement, click here.
When you are on Step 2 under the Agreement section, it will display a note - No signature method is setup. You can print the agreement for paper signing & the add to agreement files. Select Agreement PDF Click To Review / Print. At this point, the staff will manually have the new client sign the paper agreement. Continue with the agreement write up process.
2. Upload Scanned Agreement
Once the client has signed the agreement, you still can keep an electronic copy of the agreement stored in the ClubReady system. Your first step is to scan and save a copy of your agreement to your hard driver to a folder that you will be able to locate later.
You would simply pull up the client's profile through your members/customer look up. Select the client you need to upload the agreement for and click on the Agreements then Full Details.
Clicking the Full Details button will advance you to the agreement details screen. Click the Files menu option on the left side of the screen. Clicking the Files menu option will update the screen with information on how to upload and email files into this client's agreement.
You can either drag and drop a file into the Drag & Drop Files Here box or you can click on this box and upload a file that way. The file will upload and appear on the screen. If the file contains signatures you may select Yes so that it is easy to identify signatures have been completed on this particular document. If you ever need to delete a file, click the red x
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Prospect Management - Can access prospects
- Member Management : General - Can access member options
- Member Management : Managing Agreements - Can view member agreements
- Member Management : Managing Agreements - Can delete agreement file uploads (this beneficial if you want an employee to be able to delete an upload, it is not required.)
