This article will guide you through tying Session Credits to Open / Unpaid Bookings. This will occur when a staff member books a client into a class before they have the required credit.
1. Customer Booking Overview
When you are looking to tie session credits to Open / Unpaid Bookings, navigate to Members > Lookup the Member > Bookings.
After clicking Bookings, you will be taken to the Customer Booking Overview page. From here, locate the booking under the Open Bookings tab and copy the blue Booking ID on the right side of the screen.
Once you have copied the Booking ID, click the Session Credits tab. Scroll down near the bottom of the page to locate the clients current available Session Credits. From here, locate a credit that will allow the client to book into the class and click the Calendar icon.
After clicking the Calendar icon, the box pictured above will populate. You will then be able to tie the credit To A Specific Booking ID by pasting the Booking ID you had copied on the previous step. Once pasted, click Check. If the credit is able to be applied, click Tie To Booking.
Additionally, you will be able to select a booking within the To a booking (open or complete) that currently has no credit assigned to it. If the client is using a Shared Credit, be sure to check the Include Shared Credit Sessions box as well.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Member Management : Credits & Bookings - Can view customer booking & session credit status
- Member Management : Credits & Bookings - Can re-assign paid session credits
2. Automatically Clean Up Session Credits
If Automatically Clean-up Session Credits is set to yes, then daily a session credit clean-up occurs automatically.
This means if any bookings happen to have no session credit assigned (for bookings that require session credits) then any available session credits will be assigned to those bookings.
The Also take credits from future bookings if needed setting is a sub option that is more aggressive - this sub-option also looks at future bookings and will use those credits to pay off completed bookings. The future booking is then cancelled and a note added
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Club Setup: Can access setup
- Club Setup: Can access scheduling general settings
