This article will guide you through locating Member profiles that are no longer populating within the Member list. This could be a case where a member has gone inactive, or the profile was merged improperly.
1. Member Status
When a Member goes Past Due or their Membership Expires, this will cause them to become Inactive.
By Default, the Members tab will populate Only Active Members. To adjust the filters, navigate to Members > Click the 3 lined filter button > set the top filter to All or Inactive > Lookup the client within the type name... field.
If you would like, there is an option to Pin Open or Save the Additional Filters. The Pin Open option will prevent you from having to open up the Additional Filters each search. To accomplish this, simply click Pin Open after opening the Additional Filters. The Pin Open option will be highlighted green if enabled.
The Save option will allow you to store specific filter setups within the My Saved Filters drop down menu.
2. Merged Accounts
In some cases, profiles are merged improperly, causing them to populate as a Prospect rather than a Member. If you are unable to locate the profile under the Members tab using the Additional Filters, navigate to Prospects > Lookup the client > All Details > Edit Pencil next to Status under the profile picture.
Key Note: When merging profile, be sure to navigate within the profile you are wanting to keep. For example, if a client has both a Prospect and Member profile and you are wanting to keep the Member profile, navigate to Members > Lookup the Member > All Details > General Tab > Merge.
In the event that a Member has been merged into a Prospect account, you will need to update the Member Since Date and Membership Expiration Date to have them reflect as a Member. Enter the date that the Membership started within the Member Since Date field. Within the Membership Expiration Field, enter the date that the agreement is set to Expire.
NOTE: If your club is set to Extend Membership Expiration With Payments, set the Expiration Date to the due date of the next upcoming Membership Invoice, as the Expiration will update with payment.
