This article and video will show you how to reschedule non class bookings (services). Using the re-book tab will not cause a loss of a customer's session credit, even if the reschedule is done outside your club's cancel policy. If a customer should lose their their session credit, you will have to cancel the booking first, and then book a new appointment.
1. Reschedule Through The Client's Account
To find a customer booking, you may lookup the from the Member or Prospects tab. Select the customer and click on the Bookings icon. You will be able to locate the booking under Open Bookings. Click on the Booking ID # to view options.
Selecting the Booking ID # will bring up the booking information and options to make changes. You are going to choose the Re-Book tab. Once you choose this option a calendar will populate under this tab. You may then choose from the following options:
Apply Booking Rules for New booking - This option will follow the rules set up on the booking policies. Example - Must have 24 hour notice to schedule with a trainer, or 24 hours to cancel.
Apply Session Expiration Date - This is going to check whether or not a session will be expired by the time the booking is made.
Only bookings With "Trainer" - This will only show your trainer as an option to schedule.
After choosing your date a new screen will appear allowing you to confirm your booking. You will also have the option to email or text the customer. After you hit the Re-Book This Booking button your booking will now be rescheduled!
2. Reschedule Through The Grid View
You can also search for the booking using Bookings > Grid View or Classes. Once you find your session on the Grid View, click on the service, or class, you would like to change. Once you click the session or booking ID # a menu will pop up. You will then select the Re-Book tab.
You may then choose from the following options:
Only show times that match your rules for Personal Training - This means that you can only be booked for the half hour, or on the hour.
Only bookings With "Trainer" - This will only show your trainer as an option to schedule.
Once you choose these options, you will then be able to choose a date to reschedule. After choosing the date a new screen will appear allowing you to confirm your booking. You will also have the option to email or text the customer. After you hit the Re-Book This Booking button your booking will now be rescheduled!
Requirements - A 'Master Admin' login or a staff login with the following permissions.
- Customer Management : Credits & Bookings - Can view customer booking & session credit status
- Scheduling - Can access scheduling
- Scheduling - Can make service (non class) bookings
