This article will guide you through using fast book option to make appointments for clients without leaving the task they are working on.
1. Accessing Tasks & Work It
Tasks can be accessed by clicking on the Prospects tab for tasks related to Prospects or the Members or Custs tab for tasks related to Members/Customers. If not already selected you may view the task list by selecting the Tasks tab. Locate the task you wish to work and click the WORK IT button.
2. Fast Book Tab
After clicking the WORK IT, select the Fast Book tab to continue. Select whether you want to book the client into a Consult, Service or Class.
Consults will list any service or class flagged as a sales consultation.
Services will list any active service set up for your club.
Classes will list any classes either as sales consults, or Ad-hoc classes.
Clicking on Consult, Service Or Class will update the screen to the options available to book a client. Select the service or class to book the client into including the duration if there is more than one option.
After clicking on the class / service and the duration the screen will update for you to select a date. There are features to help like selecting the desired trainer or staff member in the top-right corner or narrow the dates to a day if they prefer a morning, afternoon or evening appointment. Any dates that are not available will appear in gray. Each date will show up in a color from blue to red to forecast when they are more likely to keep their appointment. On this scale clients are more likely to keep their appointment on days in red than blue.
After narrowing down the dates that will work for the client you can click on the desired date to continue.
The next screen will prompt you to select the desired staff member and time. There is an option to have the default trainer selected for this appointment be whomever is currently logged into ClubReady. This can be turned on under Setup > Scheduling > General Settings.
The trainers and times with the red indicator are more ideal than the ones marked in blue. After confirming this information with the client clicking on the desired employee/time block will advance you to the next step.
At this point you simply confirm the booking to successfully booked the client using the Fast Book feature. Email and text notifications can be sent, along with any internal notes. Click Make The Booking to confirm this appointment.
