This article is an overview of the Gross Sales report and the 'Summary,' 'Detail,' and 'Analysis' tabs. This report details all paid invoices, less refunds and returns (returns are items like bounced checks and chargebacks).
Please Note:
- The Gross Sales report can be located under the Sales section of your Reports page.
- To export the data, select the floppy disk and choose your method of export: CSV (comma delimited), PDF, or Excel.
- These totals are prior to any merchant processing fees which are charged by your merchant processor and will be on a statement/report provided by that company.
- The retrieval of reports is limited to a 10-year timeframe from the current date, and the download process may vary in duration depending on the selected time frame.
- Reports are not customizable.
- This report reflects outcomes in real-time.

Understanding Your Report
The results will appear on the web page listing your Gross Sales, broken down by category, that occurred during the selected date range. To view a further breakdown for a specific category, click on the title of the category within the online report.There is a separate column for percentage of gross sales by category and another column for sales tax. This report also breaks down refunds and returns to produce your Net Revenue.
Report Definitions
Filter by Employee Associated with Sale: Opportunity to filter sales associated by a specific employee (limited to one selection).
Sales Not Associated with an Employee: Opportunity to run the report to sales not associated to an employee. This filter is located under 'Filter by Employee Associated with Sale.'
Exclude / Include / Show Only $0 Invoices: This option will allow you to 'Include,' 'Exclude,' or 'Show Only' the specified Invoices within the generated report.
Client UserID (optional): If a UserID is entered, this will give an overview of how much revenue is associated with an individual client during the time frame selected.
Pending Refunds Date: Select to view Refund Attempted Date or Released Date (when the refund was 100% completed).
Show Drafted Downpayments as: If a down payment is drafted, this option allows you to set the payment to show as a Downpayment within the report.
Client Credit Purchased: Displays the total of Purchases for Client Credit.
Payments - Membership, Membership Add-On, and Services are based on the package types the invoice is tied to. To learn more about these different types or to edit those please review Sales Package Types: Membership/Add-On/Services.
Products: - Retail, gift cards, and cafe items (food/drink) sales. Learn more about product creation with our help article: How To Setup A Product.
Past Dues: Invoices that have been placed into a collections category based on your Late Pay Settings.
Payments Using Client Credit / Credit Memos: If a Client Credit or Credit Memo is used for payment.
SUBTOTAL - Refunds & Returns: Displays the Refunds and Returns for the specified date range.

- This report differs from the Remit Report in that it does not include information regarding any fees or adjustments.
Understanding Your Report
The results will appear on the web page listing your Gross Sales that occurred during the selected date range. There are separate columns for Invoice Details, Net Revenue Breakdown (Excludes Taxes), Payment Method Breakdown (Includes Taxes) and Agreement Details. This report also breaks down refunds and returns to produce your Net Revenue You may choose to specify by Transaction Detail, Filter By Employee Associated With Sale, select if you want to Exclude $0 Invoices, Include $0 Invoices or Show Only $0 Invoices, filter to a specificClient UserID (optional), Pending Refunds Date (Refund Attempted Date or Released Date) or Show Drafted Downpayments as (Down, Draft).
Report Definitions
Date: Date in which the invoice was paid.
Time: Time the payment was taken.
Pending Refund Release Date: The date the refund was completed.
User ID: User ID of the member, if the transaction is tied to a member.
Barcode: Barcode of the member, if the transaction is tied to a member.
Last Name/First Name: First and Last name of the member, if the transaction is tied to a member.
Membership Type - Membership type tied to the member.
Due Date: Date in which the invoice is due.
Days Late: How many days late the invoice was when paid.
Invoice ID: Unique ID number of the invoice.
Description: Description of the product or invoice.
Invoice Type: Type of invoice (Cancel Fee, Enhancement Fee, etc)
Payment Category: What category the sale falls under (Membership, Services, Late Fee, Cancel Fee, Merchandise).
Transaction Type: Type of the payment (Recurring, Paid Up Front, In Club).
CR Draft: Specifies if the invoice was paid via the Draft.
Fee Type: Type of fee, if it was a fee invoice.
Product Category: Product Category tied to the product.
Product Barcode: Displays the product's barcode.
Auto-Renew: Is the invoice paid on auto renew.
Repay: Funds collected after client issues a charge back.
Void: Displays if the invoice was voided.
Purchase Amount: Total amount of the invoice paid excluding sales tax
Avg Memb EFT: Lifetime average EFT, this includes Membership drafted down payments. (NOTE: Past Dues will NOT count towards Avg Memb EFT totals since they are in a different column).
+ Sales Tax: Sales tax of the invoice.
Payment Total: Amount of invoice plus any sales tax.
Client Credit: Payment made with client credit.
Credit Memo: Payment made with a credit memo.
Gross Revenue: The amount of money that went to the club.
Refunds & Returns: Displays the amount of the refund / return.
Payment Method: Displays the payment type used (Cash, Written Check, Credit Card through CR, External, etc.).
CR: Credit Card: Payment was made with a credit card through ClubReady.
CR: Bank ACH: Payment was made with a bank account through ClubReady.
Ext Terminal: Payment was made via an external terminal.
Check: Payment was made with a written check.
Cash: Payment was made with cash.
Client Credit: Payment was made with client credit.
Credit Memo: The amount the club is writing off from the revenue.
List Price: Original invoice value of the item based on its settings.
Discount: Amount that was discounted.
Wholesale Price: Wholesale price of the item if entered under product settings.
Session Credits: Number of session credits tied to the invoice, if any.
Primary / Secondary Sales Person: Who the primary and secondary sales person was when ringing up this invoice.
Ran By: Name of the staff member who ran the sale (if this is blank, the payment was rung up during agreement write up without a staff member logging into a POS terminal, or it was ran by the draft)
POS Terminal: Which point of sale terminal the transaction was rung up on (if this is blank, the payment was rung up during agreement write up without a staff member logging into a POS terminal).
Card Entry Method: If a credit card was used, it will display "Card Present" or "Card Not Present."
Agreement ID: ID of the agreement.
Agreement Date: Date the agreement was written up.
Agreement Sales Person 1 / Sales Person 2: Name of the staff member(s) assigned to the sale of the agreement.
Note: Displays note tied to the invoice.

Understanding Your Report
The Gross Sales Analysis is a summary of the transactions, but broken down further within each category. There will be a summary per invoice detail broken out by: Down (down on day of purchase), Draft (invoice due in future), In Club, EFT Total, Payments Total, % of Gross and Sales Tax.
Report Definitions
Filter by Employee Associated with Sale: Option to select a specific staff member
Exclude / Include / Show Only $0 Invoices: Configure the report to include / exclude / only show $0 invoices.
Client UserID (optional): Shows all invoices related to a specific client.
Pending Refunds Date: Select to view Refund Attempted Date or Released Date (when the refund was 100% completed).
Show Drafted Downpayments as: If a down payment was drafted, this will allow you to configure how these show within the report.
Paid Up Front: Amount paid at the time of the sale.
Deferred: Total of payments that have been deferred.
Down Total: Total of the Paid Up Front and Deferred payments.
Draft: Invoices due in the future.
In Club: Invoices paid within the club's POS (Point of Sale).
EFT Total: The total of the Draft and In Club payments.
Payments Total: Sum of the Down and EFT Totals.
% of Gross Sales: The percentage of the Gross sales per category.
Sales Tax: Sales tax charged for each category.
Requirements - A 'Master Admin' login or a staff login with the following permissions.
