Q: What is Tap to Pay, or Contactless Credit Card Processing?
A: It’s a technology and payment method designed to limit fraud by using embedded computer chips on credit and debit cards.
Q: What is the return policy for transactions made using Tap to Pay?
A: With Tap to Pay, any Point of Sale (POS) transactions made through the device are limited to a 45 day return window. This applies only to Card Present transactions using the device. After 45 days, refunds cannot be processed through the device itself, though studios may still issue refunds by check. Please note, this 45-day limit does not apply to Card Not Present or Draft transactions.
Q: Why does the Tap to Pay card number not match the swipe number or the number on the card?
A: The Tap to Pay card number may not match the swipe number or the number on the physical card due to the use of tokenization. When using Tap to Pay, a unique digital token is generated to represent the card for that specific transaction. This token is different from the actual card number, which helps to protect the card's details and enhance security. As a result, the number displayed for a Tap to Pay transaction is not the same as the physical card number or the number generated for a swipe transaction.
Q: Can digit wallets be used for recurring payments?
Yes. When the recurring payment is due, the digital wallet automatically transmits the payment token to ClubReady . We use this token to process the payment through the card networks, without ever seeing your actual credit card details.
Q: Are digital wallets known to have a higher false decline rate compared to credit cards for subscriptions?
False declines for subscriptions can be triggered by a customer using a new phone with newly added digital wallets, updated card due to expiration date, lost/stolen card and if the amount of purchase significantly higher than previous payments. To help minimize false declines encourage customers to communicate subscriptions when updates are necessary. Digital payments are more secure than credit cards because they can’t be stolen or lost, and they are protected through a password, PIN and tokenization.

Q: Is there a cost to use Contactless Credit Card Processing?
A: Yes there is a monthly, and per transaction fee. These fees are determined by your contract with ClubReady.
Q: Why are there additional fees for Tap to Pay?
A: As with any technological advancement, adopting tap-to-pay systems involves additional costs for both hardware and backend service providers.
• Hardware Costs: Tap to Pay terminals require specialized hardware that support contactless payment methods such as NFC (Near Field Communication). These terminals need to be purchased or leased, and their costs are higher compared to traditional card readers due to the advanced technology they incorporate.
• Transaction Fees: Tap-to-pay transactions, while convenient and fast, incur higher fees than traditional card transactions. This is because the technology requires additional integration with partners who support enhanced security features like tokenization, encryption, and the handling of more complex data flows.
These factors contribute to the overall cost of adopting tap-to-pay systems, reflecting the necessary investment in advanced technology and secure payment processing.
Q: If I store a card on file when I take the initial transaction through tap to pay, do transaction fees also apply every time I use the card on file for draft or at Point of Sale?
A: The good news is no, the per transaction fee only applies to transactions processed through your tap to pay device. These transactions are considered Card Present transactions. If you store the card on file into a payment profile, and use the card on file for recurring invoices or even point of sale purchases using card on file, these are considered Card not Present transactions and are not subject to the additional per transaction fee.
Q: How do I know what fees I am being charged?
A: Please refer to your most recent billing guide for all fees. Applicable tap to pay fees have been added to your billing guide. To request a copy of your billing guide, please reach out to us as support@clubready.com
Compliance & Security
Q: Is this mandatory/what happens if I don’t want to upgrade?
A: It is currently not mandatory, but the mag-striped swipe readers will eventually phase out and be replaced with the more secure, Tap to Pay devices.
Q: What are the benefits? Why should I upgrade?
A: Contactless Payment Processing increases security, shifts chargeback liability for some Card Present fraud, gives your customers more control with how they want to pay and limits additional penalties from card brands for not complying. Reduced liability only applies to Chip or Tap transactions, best practice is to encourage chip or tap (card or wallet) as much as possible.
Chips are an excellent chargeback prevention tool for card-present Merchants. Traditional magnetic stripes contain unencrypted card information. Unlike the magnetic stripe, an EMV chip contains a secure algorithm that generates a new authentication code for each transaction. Although processing time may take a few seconds longer, this significantly reduces the risk of card-present fraud.
Q: I am already PCI compliant – do I need to change anything with my PCI certification?
A: No. However, on your next annual questionnaire, a new question will be relevant to accommodate for the new, Tap to Pay device. Once you receive the device, you would then check that you use a stand-alone counter-top or portable Point of Sale (POS) payment terminal as referenced in the visual below:
Q: I am not currently PCI compliant; how does this help me?
A: Tap to Pay does not directly impact an organization’s PCI compliance requirement. Tap to Pay technology does not satisfy any PCI requirements, nor does it reduce PCI scope. If you are not currently PCI compliant, here is a guide to get you started.
Ordering & Shipping
Q: How do I order hardware?
A: Device purchases with a credit card and for a single location must be purchased on the ClubReady microsite directly from the POS Portal link below.

Device purchases for multiple locations and ACH payment submissions (directly from a bank account) must call 855-838-4611 to purchase.
Q: How long does it take for the device to ship?
A: You can choose your shipping method; Fed Ex ground, Fed Ex 2-day shipping, or Fed-Ex overnight shipping.
Q: Who handles maintenance and repairs on the terminal? Who do I reach out to?
A: You can reach out directly to POS Portal if it is within your 30-day warranty (if you purchased the terminal). If the terminal was leased, you can reach out to them to retrieve a new device. Here is more information on what POS Portal provides.
Q: Is there a lease option for the devices?
A: Yes, you will have an option to Lease with Portal Advantage with the device vendor (POS Portal). The lease agreement includes one monthly payment, a two-year minimum term, and a warranty for the terminal. After the two-year term, the lease goes month-to-month, and you can choose to buy out the device at that time if you choose. The buyout cost is 10% of the total monthly payments made. Q: If you are renting and the device reaches end of life, are you resigning a new 2 year agreement to upgrade it?
A: They can lease for as long as they wish. The minimum timeframe is 24 months. If, after 24 months they want to purchase the device, they can call POS Portal to receive the buy-out amount. POS Portal will not contact them at the end of the 24 month timeframe. After 24 months, the lease continues and goes month to month. As an example, if they want to upgrade to a new device at 36 months, they can contact POS portal to (1) either buy-out the existing device if they want to keep it (if they don't want to keep it, they have to send it back), or (2) start a new lease with the upgraded device they are wanting. There is no 'credit' for turning in an old device.
Q: I am having trouble activating my terminal, who do I reach out to?
A: Select the green “Support + Get Help” option in your ClubReady site to initiate chat or submit a support ticket by emailing support@clubready.com.
Q: Why can’t I order my own device outside of the POS Portal microsite?
A: POS Portal is a direct partner of Worldpay and ClubReady, and POS Portal has the exact loads and encryptions needed in order for the payment device to work properly and communicate with both entities. Any devices purchased outside of POS Portal will not work for Tap to Pay transactions since the terminal will not have the required encryption for payment processing.
Q: If the device is purchased, what is the warranty? If the rental option is selected, what is the cost after the 2 years as it mentions that we continue with monthly payments?

Device Options
Q: Which is better, the wired or wireless terminal?
A: Both terminals have everything you will need to process tap, chip, or swipe transactions. Wired terminals are a good choice if you have. or can set up a direct ethernet cable connection from the device to your router. The wired device is also beneficial if you don’t want to worry about charging, and you don’t need to move around to take payments. If you are limited to a Wi-Fi network or just want to have a more flexible, mobile solution, then wireless is a great choice. A dedicated hotspot can also be used with either device. However, we recommend the wired device for optimal performance to reduce Wi-Fi connectivity issues in congested environments.
Q: Can I use my device with a tablet/mobile device for portability in studio? Out of studio?
A. Yes, both terminals are compatible with your tablet/mobile device. The Link 2500 is wireless, and battery operated. This makes it more manageable away from the counter. The range, however, is limited to the Wi-Fi network.
Q: Can I take payment using digital wallets (Apple Pay / Samsung Pay / and Google Pay) on the Tap to Pay device?
A: Yes, payment can be taken with the Tap to Pay device using digital wallet payment methods. The tokenized card information can also be stored in ClubReady to place the card on file for all e-wallet transactions.
Q: Can we omit Apple Pay/Google Pay as an option?
A: The option to take Apple Pay/Google Pay cannot be blocked on the device but the studio can choose to not accept it.
Q: Can I use Tap to Pay to store a member’s card on file using the Tap to Pay Device for card and wallet payments?
A: Yes. ClubReady can store the payment information on file so the card can be used for future draft and non-card present transactions at the point of sale. This applies to card tap, swipe, chip and wallet taps on the device.
Q: Can I use my Tap to Pay device on multiple computers and iPads? I want to be able to process sales from either device, for example, if my assistant and I are both working with a client at the same time, without having to disconnect or reconnect the terminal.
A: Yes, you can log into your ClubReady site with a Tap to Pay device and initiate a sale from any device, whether it’s a computer, phone, or tablet. As long as you’re logged into the club, you can process transactions on any compatible device.
Q: Is there an added expense by continuing to use the magnetic card reader? Can the magnetic card reader continue to be used?
A: There is no added expense to use the magnetic card reader (Magtek Reader). It currently can still be used.
